How can I manage my team and workspace access?

The Organization section lets you control who has access to your workspace and what they’re allowed to do. You can invite team members, assign roles, and manage permissions to ensure the right level of access for everyone.

As the Owner, you can:

  • Invite new team members
  • Assign roles (Viewer or Editor)
  • Manage or remove access
  • Maintain full control over production and knowledge base actions

When to use this

Use this section when you want to:

  • Add teammates to collaborate on AI agents
  • Give visibility to stakeholders (without editing permissions)
  • Control who can modify flows vs. who can only review them

Roles & Permissions

Owner

  • Full control of the workspace
  • Can invite/remove members
  • Can edit and publish AI agent flows
  • Can upload/delete knowledge base files
  • Can push changes to production

Note: This is the only role with complete control.


Editor

  • Can create and edit AI agent flows:
    • Move nodes
    • Connect or modify logic
  • Cannot:
    • Push changes to production
    • Upload or delete knowledge base files

Best for: Builders who design and improve flows but don’t deploy


Viewer

  • Read-only access
  • Can:
    • View AI agents
    • Review flows and structure
  • Cannot:
    • Make any changes

Best for: Stakeholders, clients, or reviewers


How to Invite a Team Member

  1. Go to Team & Access
  2. Click + Invite member
  3. Enter the user’s email address
  4. Select a role:
    • Viewer (read-only)
    • Editor (can modify flows)
  5. Click Send Invitation

The user will receive an email with a secure invite link (expires in 7 days).


Managing Existing Members

In the Members list, you can:

  • View roles assigned to each user
  • Change roles using the dropdown next to their name
  • Remove users from the workspace if needed

Note: Only the Owner can manage roles and remove members.


Tips & Best Practices

  • Start with Viewer access if you're unsure — permissions can always be upgraded
  • Use Editor role for team members actively building flows
  • Limit Owner access to avoid accidental production changes
  • Regularly review your member list to keep access up to date

Common Mistakes to Avoid

  • Giving Editor access to users who only need visibility
  • Expecting Editors to deploy changes (only Owners can do this)
  • Forgetting that invites expire after 7 days
